That’s what it’s about
Supporting our Operations and People teams by:- Handling general office administrative and secretarial tasks to support daily operations
- You will keep track of office supplies, inventory, and place orders or make purchases
- Managing communication and documentation in both Portuguese and English
- Taking care of bureaucratic procedures, from contracts to government-related paperwork
- Assisting in basic accounting paperwork and preparing documentation for the finance team and external accounting partners
- Supporting the well-being and functionality of our office space, ensuring a pleasant and productive environment for everyone
- Assisting in the organisation of internal events, such as team-building activities and company gatherings
- Supporting recruitment procedures, including scheduling interviews and onboarding logistics
- Providing logistical and organisational support for events where MobiLab is represented externally (e.g., job fairs, tech meetups, community initiatives)
This is you
- You are fluent in Portuguese and English, both spoken and written
- You have previous experience (or strong motivation to learn) in an administrative, office management, or secretarial role
- You are structured, proactive, and love getting things done efficiently
- You feel confident managing bureaucracy and know how to navigate local administrative processes
- You have a basic understanding of accounting or are eager to learn how to handle invoices and financial documentation
- You take pride in creating a welcoming, organized, and well-maintained office space
- You are reliable, approachable, and a strong communicator
- You enjoy being the go-to person for anything and everything that keeps the office running smoothly
- Experience in using office tools such as Google Workspace (Docs, Sheets, Gmail) is a plus
