That’s what it’s about

• Handling general office administrative and secretarial tasks to support daily operations
• You will keep track of office supplies, inventory, and place orders or make purchases
• Managing communication and documentation in both Portuguese and English
• Taking care of bureaucratic procedures, from contracts to government-related paperwork
• Assisting in basic accounting paperwork and  preparing documentation for the finance team and external accounting partners
• Supporting the well-being and functionality of our office space, ensuring a pleasant and productive environment for everyone
• Assisting in the organisation of internal events, such as team-building activities and company gatherings
• Supporting recruitment procedures, including scheduling interviews and onboarding logistics
• Providing logistical and organisational support for events where MobiLab is represented externally (e.g., job fairs, tech meetups, community initiatives)

This is you

• You are fluent in Portuguese and English, both spoken and written
• You have previous experience (or strong motivation to learn) in an administrative, office management, or secretarial role
• You are structured, proactive, and love getting things done efficiently
• You feel confident managing bureaucracy and know how to navigate local administrative processes
• You  have a basic understanding of accounting or are eager to learn how to handle invoices and financial documentation
• You take pride in creating a welcoming, organized, and well-maintained office space
• You are reliable, approachable, and a strong communicator
• You  enjoy being the go-to person for anything and everything that keeps the office running smoothly
• Experience in using office tools such as Google Workspace (Docs, Sheets, Gmail) is a plus
