Job Purpose
Complement Execution and Operations desk with all required administrative tasks and input
Daily receipt and capture of trading invoices in our payment system to be ready for payment;
Process payments through our payment system (Payment Gateway /IAM) for all secondary invoices and washout invoices after approval from Operations;
Generate receivables invoices for wash-outs already established by Trade Assistants, and send receivables invoices by mail for collection;
Process payments of shortages (vegetable oils) / settlement after approval from Operations.
Responsilbilities
Check accuracy of all payable invoices received to comply with internal procedures and inform counterparty in case of issues; and capture them in PG/IAM
Check accuracy and compliance of any trade related incoming invoices for secondary fee(s) / services as per estimated fees in the system;
Process all payable invoices within 24 hours and inform Operations;
Process payable invoices such as fumigation cost, broker’s commission, vessel agents, already estimated by Operations;
Post trade related incoming invoices, debit note in the system
Daily update on the Treasury portal with cash forecast information as per internal procedure;
Declare any shipment in Insurance portal (marsh cargo), as per internal procedure and ensure insurance premium accrual is immediately captured in system;
Follow up claims’ settlement with Insurance department;
Register new counterparties into our Master Data Management system.
Requirements
High School/graduate;
Experience in a similar position (International business) is an asset;
English language fluent both written and spoken;
Able to work with self-responsibility, under time pressure and in a methodical, detailed and accurate;
Very clear and precise communicator both verbally and in writing;
Team Player possessing ability to work and integrate with other teams;
Strong interest for the commodities business with a first experience
