Job Description
We are looking for a reliable and organized Office Assistant to help ensure the smooth day-to-day operation of our Lisbon office. This role is ideal for someone who enjoys creating a well-functioning workspace, managing supplies, and supporting teams with administrative tasks.
Key Responsibilities
- Manage and track office inventory; order and restock supplies including stationery, snacks, coffee, and cleaning materials
- Oversee supplier relationships and negotiate contracts with office vendors (e.g., cleaning, maintenance, utilities)
- Monitor and report office attendance/occupancy, ensuring records are up to date
- Provide general administrative support to teams and management
- Ensure common areas are tidy and organized throughout the day
- Act as the main point of contact for office-related queries
Requirements
- Minimum 2 years of experience as an Office Assistant, Administrative Assistant, or similar role
- Onsite Work Model
- Fluent in both Portuguese and English (spoken and written)
- Solid knowledge of Microsoft Office Suite (Outlook, Excel, Word)
- Excellent organizational skills with strong attention to detail
- Good communication and interpersonal skills – ability to work with different teams and suppliers
- Enthusiastic, reliable, and able to handle multiple tasks with a positive attitude
