At White Rabbit Projects, we create memorable hospitality experiences across unique restaurants, bars, and event spaces. At Locke de Santa Joana in Lisbon, our portfolio includes Santa Joana, Santa Marta, The Kissaten, and a variety of private and semi-private spaces. We’re now looking for a detail-driven, organised Events Co-ordinator to manage the planning of all events and group bookings — from enquiry to handover — ensuring the operations team can deliver a flawless guest experience.
This role is reactive — you’ll be responding to inbound event and group booking enquiries, coordinating all details, and ensuring every booking is set up for success.

What Will You Be Doing?
- Handling inbound event and group booking enquiries for all outlets within Locke de Santa Joana
- Coordinating all event details — including menus, timings, layouts, and special requests
- Managing communication between the client and the operations team
- Preparing accurate event function sheets for seamless handover to the ops team
- Liaising with chefs, bar managers, and service leaders to confirm availability and requirements
- Managing booking systems and ensuring records are accurate and up to date
- Following up with guests post-event for feedback and potential repeat business
What Do You Need?
- Previous experience in an events, reservations, or hospitality co-ordination role
- Excellent organisational and time-management skills
- Strong written and verbal communication abilities (English and Portuguese essential)
- A proactive, solution-focused approach to guest service
- Confidence in managing multiple bookings and deadlines simultaneously
- A positive, team-oriented attitude
