What You Will Do:
- Coordinate day-to-day delivery operations across multiple active SaaS implementation and consulting projects.
- Act as a point of contact for client and internal communications, responding to inquiries within defined SLAs and keeping stakeholders informed.
- Coordinate staffing requests by reviewing new project requirements, identifying available resources with delivery team, and finalizing assignments within tight turnaround times.
- Support the creation and tracking of project contracts by gathering required input and working closely with the sales and delivery team.
- Maintain up-to-date project bookings in PSA tools, ensuring accurate tracking of resources, forecasts, and time access setup.
- Facilitate timely approvals of weekly timecards and ensure all time entries align with project budgets and scopes. Reallocate time entries when necessary.
- Assist with project initiation, including introducing delivery resources to clients and preparing internal systems for kickoff.
- Handle project close-out activities by reconciling actuals with estimates, closing tasks and bookings, and updating project statuses.
- Generate and review reports to support internal decision-making and provide clients with regular updates on the hours remaining, contract status, and budget usage.
- Follow up with clients on non-technical matters related to contracts, staffing, and delivery operations.
- Support ongoing data hygiene efforts to ensure operational systems reflect accurate and current information.
- Create and process subcontractor and staff augmentation approvals, purchase requisitions and purchase orders in a timely and efficient manner. Work with Partner to facilitate amendments when needed to finalize and obtain signatures.
- Provision Subcontractors in Intapp systems to enable work to be forecasted and time entered. Ensure adherence to time entry cadence collaborating with Intapp Engagement Managers where necessary to achieve this.
- Partner with Accounts Payable and Accounting to accrue, review and pay Subcontract and staff augmentation invoices. Liaise with partners and internal stakeholders to resolve any invoicing issues or missing hours.
- Work closely with Delivery Staffing Managers to understand current and future staffing needs in order to forecast subcontract capacity needs.
What you will need:
- 3–5 years of experience in a project coordination or operations support role, with a focus on staffing, scheduling, and cross-team communication, Business Operations, or Revenue Operations —ideally within a SaaS or technology services environment.
- Strong organizational and multitasking abilities, with great attention to detail.
- Confident communicator who can effectively facilitate meetings and collaborate with internal and external stakeholders.
- Comfortable working with remote, global teams and leading peers through process consistency.
- Solution-oriented mindset with a positive, can-do attitude and a desire to grow within project management.
- Advanced Excel and data analysis experience
- Ability to adjust to changing priorities, comfortable navigating ambiguity and championing change
- Familiarity with project tools such as OpenAir, CRM systems is a strong plus.
- Bachelor’s degree or equivalent experience preferred.
