The Team
The Accounts Payable team based in Portugal services 5 business units across the international Hiscox group and is responsible for the paying of supplier invoices and employee expenses accurately and on time.
Duties and Responsibilities
- Assisting to daily triage of AP mailboxes (invoices, approvals and queries), ensuring that inboxes are up to date, run daily and weekly Accounts Payable reports and take preventive action as required.
- Review and verify process flows for invoices reviewing accuracy, completeness, and appropriate approvals.
- Processing a high volume of supplier invoices, employee expenses and payment runs.
- Maintain accurate payment records and ensure compliance with internal policies (Payments, T&E, or any other relevant policy).
- Assist in validating payment details & methods.
- Responsible for preparing AP reconciliations including supplier liability, prepayments, accruals, intercompany recharges and period close exceptions reports.
- Assisting to lead the delivery of changes of Purchase to Pay end to end process project.
- Support the development of a continuous improvement culture utilizing external insights and best practices.
- Actively support both Accounts Payable and Group Finance wide projects relevant to the role.
- Strong knowledge in Accounts Payable and Employee Expenses Tax Validation (UK, US, other European countries is a plus).
- Identify opportunities to streamline AP processes, implement best practices and ensure compliance with company policies (Lean or Agile mindset).
- Consolidated knowledge of accounting principles from transactional postings to balance sheets and P&L analysis.
- Capability to analyse and support implementation of KPI´s to drive efficient process and be aligned with Hiscox strategic goals.
- Capability to understand and report gaps in flows and interface system failures.
Person Specification
- Fully Qualified or Part Qualified at AAT level or professional qualification/relevant work experience in a similar role
- Minimum of Finance or Management Degree qualified – with a minimum 4+ years’ experience within Financial Services, Insurance or multi-national business.
- In depth knowledge and understanding of Oracle and invoices/payments related processes (highly desirable).
- Proficient with Microsoft office application and advance Excel level (Power BI-highly desirable)
- Knowledge and experience of Purchase to Pay end to end process (in a complex global environment) is highly desirable.
- Confident interrogating and analysing high volumes of data with an attention to detail
- Excellent Stakeholder Management and Communication Skills.
- Ability to use own initiative and ability to work both alone and as part of a team.
- Strong control mindset and experience (highly desirable).
- Fluent in English & Portuguese (Spanish, French, German or Dutch will be an added value)
- Excellent analytical skills, knowledge of accounting, finance, and tax principles
- Ability to work to a high degree of accuracy in a fast-paced environment
Professional
- 3 to 5 Years’ experience in Accounts Payable is a must
- Knowledge of Microsoft Office - Excel, Outlook, Teams
- Oracle and/or Procure to Pay system knowledge will be an advantage
