The Universal Kraft group has been actively developing renewable energy solutions for over 20 years. Our projects span from wind and solar to waste-to-energy, water treatment, and energy storage solutions, including green Hydrogen and green Ammonia.
With offices in Canada, Portugal, Spain and Sweden, we are continuously expanding, along with our team. We are currently recruiting for an Office Administrator to join our growing team and support the smooth running of our daily operations. This role will provide essential administrative support across various departments, helping to ensure efficiency, coordination, and consistency in our processes.
REQUIREMENTS
- Proven experience in an administrative, office support, or coordinator role
- Proactive and hands-on; takes initiative, solves problems, and gets things done without needing close supervision
- Confident communicator with strong written and verbal skills in English
- Strong organisational and time management skills; able to manage multiple priorities efficiently
- High attention to detail and accuracy in all tasks, particularly in financial and administrative processes
- Experience with invoicing and basic accounting support
- Solid understanding of Portuguese invoicing standards and familiarity with invoicing tools or software
- Proficient in Microsoft Office (especially Excel, PowerPoint, and Outlook)
- Tech-savvy and quick to pick up new tools and systems
- High school diploma or equivalent required; post-secondary education in administration, accounting, or a related field is an asset
RESPONSIBILITIES
- Keep daily office operations running smoothly, including supplies, scheduling, and general coordination
- Manage and maintain internal records, databases, and filing systems (both digital and physical), ensuring accuracy and confidentiality
- Prepare, issue, and track invoices in line with Portuguese invoicing requirements
- Process and reconcile expense reports, working closely with the accounting team
- Act as a go-to support for internal admin and finance teams, assisting with documentation, reporting, and follow-ups
- Identify inefficiencies and take initiative to improve admin processes where needed
- Provide general support across teams, stepping in where help is needed to keep things moving
- Maintain a clear overview of office needs and ensure tasks don’t fall through the cracks
